• SAME-DAY RESERVATIONS: Speak with a member of our team to expedite your request at (703) 304-7889.
• NOTICE REQUIRED: We need a minimum of 3 hours’ notice for same-day requests and discharges, and we can cover most of them inside that window. Booking 24 hours ahead guarantees availability.
• TRIP DETAILS: Please use the “Notes” section to notify our team about important trip details such as: Appointment type, estimated duration of your appointment (if you need our services for the return trip) and number of stairs entering/exiting your home (if you need assistance going up/down the stairs).
• STAIRS: Please note, if you need to be transferred up or down stairs, the quoted price will increase by a minimum $75 each way due to additional personnel required for the trip.
• WEIGHT: For patients over 300 lbs, select Bariatric Service.
• ​CANCELLATION POLICY: We know life happens and sometimes appointments need to be canceled and/or rescheduled. We also know your time is valuable – and so is ours. Please cancel/change an appointment at least two (2) hours prior to the pick-up time to avoid fees. Changes/cancellations can be done through our mobile app, emailing us at Reservations@hmtransport.com or by calling (703) 304-7889.

When a rider’s needs change

The most common problem with recurring senior transportation is that the booking stops matching the rider. Someone books ambulatory in March, and by September the same person really needs a wheelchair — but nobody updated the standing order, so a driver arrives with the wrong vehicle on a morning when nobody has time for it.

If anything has changed — a fall, a new diagnosis, a hospital stay, a chair they now use full time — call (703) 304-7889 and tell us. It takes two minutes and we will update the standing order.

What families usually ask

Will the same driver come each time?
On standing orders we work hard to keep it consistent, because familiarity matters for riders with dementia or anxiety. We cannot guarantee it every single trip.

Can I book on my parent’s behalf from out of state?
Yes. Many of our bookings come from adult children in another time zone. Call, use the form, or use the app, and we will confirm by call or text within two hours.

What if my parent refuses to go?
Our drivers are patient and will give it a reasonable try, but they will not force anyone into a vehicle. Call us and we will reschedule.

Can you take someone with dementia?
Yes. Tell us when you book so the driver knows what to expect and can allow more time.

Do you help with the door, keys and locking up?
Drivers help the rider through the door and will wait while a door is locked, but they do not take custody of keys or enter a home unaccompanied.

Does Medicare pay for a wheelchair van ride to my appointment?
Original Medicare (Parts A and B) does not cover wheelchair or stretcher van rides. It pays for ambulance transport only when an ambulance is medically necessary. Some Medicare Advantage plans include a transportation benefit, and if yours does, ask the plan for H&M Transport by name. Otherwise you can book with us directly at our published rates, from $55 per leg on a round trip.

My Medicare Advantage plan includes rides. Can I use H&M Transport?
Ask your plan. Call the member services number on your plan card, ask whether your benefit covers wheelchair or stretcher vans, and request H&M Transport by name. If the plan books through a vendor that doesn’t use us, you can still book with us directly and pay the published rate.

Does the VA pay for medical transportation?
Eligible veterans can get travel help through the VA’s Beneficiary Travel program, including special-mode transport such as a wheelchair van when the VA approves it in advance. Those rides are arranged through the travel office at your VA medical center. H&M Transport is not a VA travel vendor, but any veteran or family can book with us directly at our published rates, from $55 per leg on a round trip.

Can you get a wheelchair rider up or down the stairs at home?
Yes. If the rider can’t manage the steps, we send a stair chair team for $75 each way. If the rider can walk the steps with the driver’s help, there’s no extra charge. Tell us about steps at either end when you book so the right crew comes.

Can I bring my oxygen?
Yes. You can bring your own portable oxygen, and it is secured for the ride, or we can supply oxygen at $35 per 2-liter tank. Tell us when you book, including your flow rate, so the right setup is in the vehicle.

Can I request a female or male driver?
Yes. Ask when you book and we’ll honor it whenever a driver is available. If we can’t for a particular trip, dispatch will tell you before the ride.

How do I ask for H&M Transport through Virginia Medicaid?
Call the transportation number on your Medicaid ID card; the brokers we work with are MTM Health and SafeRide Health. Request H&M Transport specifically when you book your ride. Covered rides to medical appointments cost the member nothing.

What we cannot do

This is non-emergency transportation. We do not provide medical care or monitoring during the ride, we do not transport anyone to an emergency room, and we do not move patients from one hospital to another for a higher level of care. Those are ambulance trips.
