Where we take Culpeper riders

UVA Health Culpeper Medical Center is the anchor — appointments all week, outpatient procedures and discharges. Culpeper Surgery Center accounts for a steady stream of day procedures, and most surgery centers will not discharge a patient who has had sedation to a rideshare.

UVA Health Culpeper Dialysis is a regular three-day-a-week run for our Culpeper riders.

The Culpeper, Culpeper Rehabilitation and the Rappahannock-Rapidan community services carry much of the rest of the recurring volume — residents going out to appointments, and discharges coming back in.

The long trips carry the weight here. University of Virginia Medical Center in Charlottesville handles oncology, cardiac, transplant and complex surgery, an hour each way before traffic. Northward we drive Culpeper riders to UVA Health Prince William in Manassas, to Fauquier Hospital in Warrenton and on to the Inova specialty services in Fairfax, and any trip into Washington DC runs under WMATC authority 3449 together with our Virginia DMV Certificate #524.

Eastward we run to Orange and to the dialysis facility there.

Matching the ride to the rider

In Culpeper the vehicle depends on how the rider moves, not on how long the drive is.

Ambulatory. A rider who can walk with some help. The driver comes up to the house, steadies them across the yard or the drive, and goes in with them at the far end.

Wheelchair. The rider stays in the chair, which goes up a ramp or onto a lift and is held at four points for the whole drive to Charlottesville or across town. No chair at home? We bring one. Our wheelchair transportation service has the details.

Stretcher. For a patient who must lie flat or reclined, such as a discharge from UVA Health Culpeper to a rehab bed. Two crew members move the rider at both ends.

Bariatric. For riders over 300 lbs, with equipment rated for the weight and a second crew member when the transfer needs one. These vans are fewer, and out here early notice matters twice over.

Pickup in Culpeper and the surrounding counties

This is rural Virginia, and the practical problems are distance, addresses and weather rather than parking.

Book further ahead than you would near the city. Culpeper to Charlottesville or to Fairfax is a long drive each way, so fewer vans are close at any moment and a same-day request is harder to fill. Three hours is our same-day minimum, a booking made a day ahead is guaranteed, and for the long runs two days ahead is the safer plan.

Rural addresses. Long gravel drives, unlit approaches, and mailboxes that sit a hundred yards from the house are all normal here. A ramp needs level ground to deploy safely, and gravel on a slope is not level ground. Tell us where the crew should stop.

Give us a landmark. Back-road addresses in Culpeper, Madison and Rixeyville don’t always resolve on GPS. A cross road or a landmark at booking saves more time than anything else you could tell us.

Weather changes the plan. An uncleared walk or an iced drive changes how a ramp deploys and how safely a rider covers the last few feet. If the weather has been bad, clearing a path before we arrive is the most useful thing a family can do.

Steps at the house change the crew. A stretcher needs room to turn, and a rider in a wheelchair who has to come down exterior steps needs our stair chair team, which is $75 each way. Tell us the count when you book.

Dialysis and standing orders

Three dialysis days a week come to more than 150 trips a year, and in a county this spread out, a missed ride is hard to make up.

In Culpeper we run to UVA Health Culpeper Dialysis, and for riders on the eastern side, the Orange dialysis facility. Most patients on those schedules ride three days a week.

We set those up once as a standing order: the center, the chair days, the times. If a session runs over, call for the ride home as a will-call and a driver reaches the center within 45 minutes; a call a little before the session ends shortens the wait.

Riders often leave treatment worn out or a little unsteady, and the driver takes the walk to the van slowly and doesn’t hurry the transfer. If a rider becomes unwell, the driver stops safely and calls 911.

Booking, coverage and payment

A same-day trip or discharge needs three hours’ notice, a day ahead guarantees the booking, and we confirm by call or text within two hours. Changes are free more than two hours before pickup; after that, or for a no-show, there’s a $50 fee.

Virginia Medicaid. A member going to covered care pays nothing for the ride, and the trip is set up through Medicaid rather than with our dispatch. Prices. Culpeper fares follow the same card as everywhere else we drive. Seated and wheelchair round trips are $55 for each leg, covering five miles each way, with $3 for every extra mile; stretcher round trips are $230 per leg. From downtown Culpeper to UVA Health Culpeper Medical Center, under two miles each way, a wheelchair round trip is $110. Original Medicare doesn’t pay for these vans, but a Medicare Advantage plan whose ride benefit runs through MTM Health or SafeRide Health can send the trip to us. Can you take me to Charlottesville?

How much notice does a Culpeper ride need?

Are you accredited?

Yes. H&M Transport was the first NEMT provider in Virginia accredited by NEMTAC, which checks driver training, vehicle condition, wheelchair securement and incident handling.

What we can’t take

We drive Culpeper riders to scheduled care and back home. The van is transport, not treatment.

So some trips aren’t ours. There’s no medical care or monitoring on board, no ride to an emergency room, and no move from one hospital to another for a higher level of care; those belong to an ambulance. We do run scheduled transfers for stable patients, such as UVA Health Culpeper to a rehab center.
