Non-Emergency Medical Transportation in Ashburn, VA

Ashburn families call us when driving to an appointment stops being simple: a rider in a wheelchair, someone who needs a hand from an Ashby Ponds apartment to the van, or a patient leaving Inova Loudoun who has to travel lying down.

We cover Ashburn, Leesburg, Sterling, Brambleton, Lansdowne, South Riding and Purcellville with ambulatory, wheelchair, stretcher and bariatric service, and we were the first NEMT provider in Virginia accredited by NEMTAC. Dispatch answers (703) 304-7889 around the clock.

Where we take Ashburn riders

Inova Loudoun Hospital in Lansdowne is the anchor for this whole area — appointments, outpatient surgery and discharges all week. Inova Loudoun Cornwall in Leesburg carries a share of the outpatient volume, and the Inova Loudoun Ambulatory Surgery Center accounts for a steady stream of day procedures.

Inova Health Center – Ashburn on Landmark Court handles primary care, imaging and physical therapy close to home — often the shortest trip on the schedule and a regular one.

StoneSprings Hospital Center near Dulles takes the southern edge, and Reston Hospital Center covers riders on the Fairfax County side of the line.

Loudoun spreads out, and Purcellville to Sterling is a real drive, so we build the distance into the schedule. The senior communities, among them Ashby Ponds, Ashleigh at Lansdowne, Heritage Hall Leesburg and Morningside House, carry much of the recurring work, and a crew on one trip there often has another on the same loop.

Ashburn riders also head south into Fairfax for Inova specialty care and into the District. Inside Virginia we run under Virginia DMV Certificate #524, and WMATC authority 3449 covers DC, Montgomery and Prince George’s counties.

Choosing a ride in Loudoun

How the rider moves today decides the vehicle, not where they’re going.

Ambulatory. Riders who walk with some help get a driver who meets them at the door and walks them into Inova Loudoun or the clinic.

Wheelchair. The chair is loaded by ramp or lift and secured at four points; a rider without a chair can use ours. More detail on our wheelchair transportation service.

Stretcher. When a patient must lie down, two crew members bring a cot to the bedside, often for a discharge from Inova Loudoun to a rehab bed, and settle the patient at the other end.

Bariatric. For riders over 300 lbs we send weight-rated equipment and an extra crew member if the transfer needs two. Book early, since these vans are fewer.

If you’re not sure, call and describe the rider. We’d rather sort it out on the phone than send the wrong van to Lansdowne.

Pickup across Loudoun

At the Inova Loudoun Cornwall campus in Leesburg.

Loudoun is the county where distance is the planning problem rather than parking.

The drives are long and the appointments are not closer than they look. Purcellville to Inova Loudoun, Sterling to StoneSprings, Brambleton to Reston — none of these are quick at eight in the morning. We build the corridor into the schedule rather than the mileage. If your appointment is in the morning peak, expect us earlier than you’d expect.

Townhouse and single-family developments in Ashburn, Brambleton and South Riding often have rear-loading garages and front doors on a common walk rather than a street. A driver following GPS can end up on the wrong side of the block. Tell us whether to come to the front walk or the garage side, and give us the building or unit number.

Senior communities have their own gate procedures, entrance preferences and sometimes a desk that wants a vehicle logged in before it arrives. Ashby Ponds in particular is large enough that the campus address and the building a rider actually lives in are different problems. Give us the building.

Rural addresses out toward Purcellville and the western end sometimes have long gravel drives. A ramp needs level ground, and gravel on a slope is not it. Tell us and the crew will plan where to stop.

Steps at the door are worth mentioning. Give us the count and whether the stair turns, and if a wheelchair rider has to come down steps, the stair chair team is $75 each way.

Dialysis and standing orders

Loudoun dialysis riders are on the road three days a week, so those runs get the most planning on our Ashburn schedule.

Across Loudoun we run to DaVita Ashburn Dialysis, DaVita Lansdowne Dialysis, DaVita Leesburg Virginia Dialysis at the Inova Loudoun Cornwall Campus, Legacy Dialysis of Virginia in Leesburg and Pure Life Renal of Lansdowne, plus DaVita Reston Dialysis Center (which is in Herndon) and U.S. Renal Care Reston for riders on the southern edge. Most patients on those schedules ride three days a week.

A standing order holds the chair days, so you book once. If treatment runs long, call for a will-call ride home and a driver reaches the center within 45 minutes; calling a little before the session ends shortens the wait. Our dialysis transportation page explains more.

Coming off treatment, riders can be tired or lightheaded, so the driver gives the transfer extra time on the way home.

Booking and payment in Ashburn

Call (703) 304-7889 any time or book online. Same-day trips and discharges need three hours’ notice, a day ahead guarantees the ride, and a call or text confirms within two hours. There’s no fee to change more than two hours before pickup; later, or a no-show, is $50.

Virginia Medicaid. Rides to covered care are free to the member and are set up through Medicaid, not booked with us. Call the transportation number on your Medicaid ID card; the brokers we work with are MTM Health and SafeRide Health. Request H&M Transport specifically when you book your ride. See our Virginia Medicaid transportation guide.

Rates. Wheelchair and ambulatory round trips are $55 a leg with five miles included; stretcher round trips are $230 a leg. From Ashby Ponds to an appointment at Inova Loudoun Hospital, about five miles each way, a wheelchair round trip is $110. Original Medicare doesn’t cover these vans; Medicare Advantage plans whose ride benefit MTM Health or SafeRide Health administers can send the trip to us. The full rate card is on our rates page.

Facilities across Loudoun — Inova Loudoun’s discharge planners, the rehab and skilled nursing centers, the senior communities in Ashburn and Leesburg — can set up an account with us and book without quoting each trip individually.

Questions we get from Ashburn families

Do you cover Purcellville and the western end of the county?

Yes, regularly. The drive is longer, so a day’s notice helps us line up a van for Purcellville and the western end.

How much notice do you need in Loudoun?

Three hours is the minimum for a same-day trip or discharge, and a booking a day ahead is guaranteed. For stretcher or bariatric trips, or anything in the western county, give us more time if you can.

Do you serve Ashby Ponds and the senior communities?

Yes, regularly. Give us the building rather than just the campus address when you book — on a campus that size it makes a real difference to the pickup time.

Will you take an Ashburn rider to a DC hospital?

Yes, to Georgetown, GW, Sibley, Howard and the rest. WMATC authority 3449 covers the District, our Virginia DMV Certificate #524 covers the Ashburn end, and it’s a longer run, so book ahead.

Does Virginia Medicaid cover rides from Ashburn?

Yes, for covered care such as dialysis at DaVita Ashburn, at no cost to the member, and Medicaid sets the ride up rather than our dispatch. Call the transportation number on your Medicaid ID card; the brokers we work with are MTM Health and SafeRide Health. Request H&M Transport specifically when you book your ride.

Are you accredited?

Yes. H&M Transport was the first NEMT provider in Virginia to earn NEMTAC accreditation, which reviews driver training, vehicles, wheelchair securement and incident procedures.

What we don’t do from Ashburn

Our job is the trip to scheduled care and back. The crew doesn’t treat or monitor anyone on the way.

We don’t drive to emergency rooms or move patients to another hospital for a higher level of care; those are ambulance trips. Scheduled transfers for stable patients, such as Inova Loudoun to a rehab center, we run every week. If a rider becomes unwell, the driver stops safely and calls 911.

If this is a medical emergency, call 911.

If you’re unsure whether it’s us or an ambulance, call and tell us what’s going on. We’ll say which.

Drivers across Loudoun

Dispatch is in Gainesville, but drivers keep their vans at home, and several live in Loudoun, so an Ashburn pickup usually starts from somewhere nearby.

Same-day requests here often move faster than the distance from Gainesville suggests, and standing orders usually keep the same driver, who learns the building and the door.

If your rider lives nearby, see our pages on medical transportation in Sterling and medical transportation in Reston.
