Non-Emergency Medical Transportation in Leesburg, VA

H&M Transport van at the Inova Loudoun Cornwall campus in Leesburg, Virginia
At the Inova Loudoun Cornwall campus in Leesburg.

If someone in your family needs a ride to a medical appointment in Leesburg and a car is not going to work — because they use a wheelchair, because the front steps have become the hard part of the day, because they are coming home from a hospital stay and need to travel lying down — that is the ride we run.

Loudoun County has grown faster than almost anywhere in Virginia, and the medical infrastructure has grown with it. What has not changed is that a great many people here cannot drive themselves to it. H&M Transport has run non-emergency medical transportation across Northern Virginia for sixteen years, and we were the first NEMT provider in Virginia to earn NEMTAC accreditation. We handle ambulatory, wheelchair, stretcher and bariatric transport for riders in Leesburg, Lansdowne, Ashburn, Sterling, Purcellville, Hamilton, Round Hill and Lovettsville. Dispatch answers around the clock at (703) 304-7889.

Where we take Leesburg riders

Inova Loudoun Hospital at Lansdowne is the anchor — appointments all week, outpatient procedures, and discharges most days, going home or on to a skilled nursing or rehabilitation facility. The Inova Loudoun Cornwall campus in Leesburg itself and the Inova Loudoun Ambulatory Surgery Center account for a steady stream of day procedures. Most surgery centers will not discharge a patient who has had sedation to a rideshare, which is the clearest reason to arrange transport before the day rather than on it.

StoneSprings Hospital Center near Dulles and the Inova Health Center – Ashburn pick up much of the rest.

For dialysis we run to DaVita Leesburg Virginia Dialysis, Legacy Dialysis of Virginia, DaVita Lansdowne Dialysis, Pure Life Renal of Lansdowne and DaVita Ashburn Dialysis — three days a week for most patients on those schedules.

The skilled nursing, rehab and senior communities carry much of the recurring volume: Heritage Hall Leesburg, Loudoun Nursing and Rehabilitation Center, Loudoun Long Term Care Center, Morningside House at Leesburg, Dulles Health & Rehab, Potomac Falls Health and Rehab, Inova Loudoun Health and Rehab, Ashby Ponds in Ashburn, Ashleigh at Lansdowne, Falcons Landing and the Lovettsville Home.

Further out we take Leesburg riders into Fairfax for the Inova specialty services — oncology at Schar, cardiac at the Heart and Vascular Institute — and across the river into Washington DC. We hold WMATC authority 3449 for the DC crossing.

Choosing your level of service

Four options, and the right one depends on how your rider moves rather than how far they’re going.

Ambulatory is for someone who can walk to and from the vehicle, with a steadying arm if needed. The driver assists at the door and again at the destination.

Wheelchair transportation is for a rider who stays in their chair for the trip. The chair goes up a ramp on our minivans or a hydraulic lift on our full-size vans, and it is secured with a four-point strap system before the vehicle moves. You don’t need to own a wheelchair — we can provide one. See wheelchair transportation in Leesburg for prices and details.

Stretcher is for a rider who can’t sit upright safely for the journey. Common after surgery, during a decline, or on a hospital-to-facility transfer. Two crew members run every stretcher trip, so there is always a second pair of hands for the transfer at both ends. See stretcher transportation in Leesburg for prices and details.

Bariatric applies over 300 pounds and uses equipment rated for the weight, with additional crew. We run fewer bariatric vehicles than standard ones, so give us as much notice as you can.

If you’re not sure which applies, call and describe the situation. Getting this right before the vehicle is dispatched matters more than almost anything else about the booking — the wrong vehicle at the door means a delay, and a delay on a medical appointment is rarely just an inconvenience.

Pickup in Leesburg and Loudoun

Loudoun is three different pickup problems in one county, and which one you have changes what we need to know.

Historic downtown Leesburg is narrow streets, brick sidewalks and on-street parking that is rarely where you want it. A ramp needs level ground and clearance to deploy, neither of which a cobbled curbside space reliably offers. Tell us if there is a driveway, an alley or a loading area, and whether the front door sits above the sidewalk.

Lansdowne, Ashburn and the newer developments are the good case — driveways, level ground, room to work. The complication here is finding the right door. Townhouse developments with rear-loading garages and front doors on a common walk are everywhere in this part of the county, so tell us which side to come to and give us the unit number.

Gated and age-restricted communities need a gate code or a call-ahead name. Give it to us at booking. Without it a driver sits at a gate while the appointment time passes.

Western Loudoun — Purcellville, Hamilton, Round Hill, Lovettsville and the roads between them — is rural, and some of it is gravel. A long gravel drive on a slope is not level ground. Tell us where the crew should stop, and give us a landmark if the address does not resolve cleanly on GPS.

Stairs are the usual complication anywhere. A stretcher does not go down a narrow turn easily, and a wheelchair does not go down exterior steps at all without a stair chair and two crew. None of that is a problem if we know in advance.

Dialysis and standing orders

Dialysis is the ride we run most often, and it’s the one where reliability compounds. A patient on a three-day-a-week schedule takes more than 150 trips a year with us. Missing one isn’t a scheduling inconvenience; it’s a clinical event.

In and around Leesburg we run to DaVita Leesburg Virginia Dialysis, Legacy Dialysis of Virginia, DaVita Lansdowne Dialysis and Pure Life Renal of Lansdowne. For riders further east we run to DaVita Ashburn Dialysis.

For a recurring schedule we set up a standing order rather than having you rebook every week. You tell us the days, the times and the center once. The trip stays on our schedule, the same crews see the same riders, and they learn the specifics — which door, how long the chair takes to come out, whether the rider needs the vehicle warm before they get in.

Post-dialysis rides run differently from the outbound leg. People come off treatment tired, sometimes lightheaded, occasionally unsteady in a way they weren’t three hours earlier. Our drivers are told to expect that rather than treat it as a surprise, and to give the transfer whatever time it needs.

Booking, coverage and payment

Dispatch answers around the clock at (703) 304-7889. For a routine appointment, a day’s notice is comfortable and more is better, particularly for stretcher or bariatric trips where the vehicle pool is smaller. For facilities scheduling a discharge, we hold to a three-hour lead time.

If the ride is covered by Medicaid, book it through your plan’s transportation broker rather than through us. Virginia doesn’t use a single statewide broker — fee-for-service members go through one vendor and managed care members go through whichever vendor their plan uses. The number to call is on the back of the member’s ID card. Once the broker assigns the trip, it may well come to us, but the authorization has to start with them or the ride won’t be covered.

If you’re paying privately or arranging through a facility account, call us directly and we’ll quote the trip before you commit. Pricing depends on level of service, mileage and whether the trip is one-way or round-trip.

Facilities across Loudoun — Inova Loudoun’s discharge planners, the rehab and skilled nursing centers, the senior communities — can set up an account with us and book without quoting each trip individually.

Questions we get from Leesburg families

How far ahead should I book?

A day’s notice is comfortable for a routine appointment, and more is better for stretcher or bariatric trips where the vehicle pool is smaller. For a hospital discharge, three hours is the minimum and we can usually cover it inside that window.

Do you serve western Loudoun?

Yes — Purcellville, Hamilton, Round Hill, Lovettsville and the roads between them. Give us a landmark or a cross road when you book if your address is one that GPS struggles with.

Can you take me from Leesburg to a specialist in Fairfax or DC?

Yes, and those are among the most common long trips we run from Loudoun. We hold WMATC authority 3449 for the DC crossing, so a Leesburg pickup to a District hospital runs on one booking with no handoff.

Do you go to Inova Loudoun and StoneSprings?

Yes, both, regularly — appointments, outpatient procedures and discharges.

What if the appointment runs late?

Call dispatch and we adjust. For a return leg we generally hold the slot rather than send the vehicle away. A call as soon as you know helps more than a call when you are ready to leave.

Are you accredited?

Yes — H&M Transport was the first non-emergency medical transportation provider in Virginia to earn NEMTAC accreditation. It covers driver training, vehicle standards, securement procedure and incident handling.

Where our drivers start the day

Dispatch sits in Gainesville. The vehicles do not. Our drivers take their vans home, and they live across the whole service area — in and around Leesburg as much as anywhere else. The van that pulls up at your door has usually started its day near you rather than driven across the region to reach you.

That is why a same-day request here is often a shorter wait than a map would suggest, and it is why a standing order holds week after week: the same driver, starting from the same place, on a route they already know.

If your rider lives nearby, see our pages on medical transportation in Sterling.
