Non-Emergency Medical Transportation in Gainesville, VA

H&M Transport drives Gainesville riders to appointments, to dialysis and home from the hospital when the family car no longer works. That might be a rider who uses a wheelchair, one who needs a steady arm from the front door, or one who has to travel lying down. Every trip is door-through-door: the driver comes to the door, helps the rider out, and at the other end walks or wheels them inside to the check-in desk. Our dispatch center is here in Gainesville, and we have run non-emergency medical transportation for sixteen years. We were the first NEMT provider in Virginia to earn NEMTAC accreditation.

We pick up across Gainesville, Haymarket and Bristow, along Heathcote Boulevard and in Heritage Hunt, for ambulatory, wheelchair, stretcher and bariatric trips. We also run trips across Northern Virginia and into Washington, DC and Montgomery and Prince George’s counties in Maryland, plus long-distance trips at the same published rates. Dispatch answers around the clock at (703) 304-7889, or you can request a trip online.

Where we take Gainesville riders

UVA Health Haymarket Medical Center at 15225 Heathcote Boulevard is the nearest hospital for most of our riders here. Some families still know it by its old Novant name. Parking is free around the building, and the outpatient Heathcote Health Center sits on the same campus, so tell us which building the appointment is in. The main lobby opens at 6 a.m. on weekdays and 10 a.m. on weekends and closes at 8 p.m.; after that, only the emergency and admitting entrance is open. We plan appointment drop-offs for lobby hours and confirm the meeting point with the unit for a late discharge.

South on Route 234, UVA Health Prince William Medical Center at 8700 Sudley Road in Manassas is about 20 to 25 minutes away, with free parking and the same 6 a.m. to 8 p.m. lobby hours. East on I-66, Inova Fair Oaks Hospital on Joseph Siewick Drive in Fairfax has free parking. North up Route 15 and east on Route 50, StoneSprings Hospital Center serves riders heading toward Aldie and South Riding. For western Haymarket, Fauquier Hospital at 500 Hospital Drive in Warrenton is often the closer choice.

Senior care is a large part of the schedule. We run regular trips for Gainesville Health & Rehab Center in Heritage Village Plaza, Lake Manassas Health & Rehabilitation Center on Holly Knoll Lane, Heritage Village Assisted Living and Memory Care on Heathcote Boulevard and Harper’s Station of Gainesville on Loves Mill Lane. In Manassas, we serve Manassas Health and Rehab Center on Rixlew Lane and the Birmingham Green nursing facility on Centreville Road.

Choosing your level of service

Four options, and the right one depends on how your rider moves rather than how far they are going.

Ambulatory is for someone who can walk to and from the vehicle, with a steadying arm if needed. Ambulatory riders travel in the same minivans and full-size vans as the rest of the fleet, and the driver assists at the door and again at the destination. If the rider can manage the steps with the driver’s help, stairs cost nothing extra.

Wheelchair is for a rider who stays in their chair for the trip. The chair goes up a ramp on our minivans or a hydraulic lift on our full-size vans, and it is secured at four points before the vehicle moves. You do not need to own a wheelchair; we can bring one. See wheelchair transportation in Gainesville for prices and details.

Stretcher is for a rider who cannot sit upright safely for the journey, often after surgery or on discharge to a rehab or skilled nursing facility. Two crew members run every stretcher trip, bed to bed. See stretcher transportation.

Bariatric is for riders over 300 lbs. We use specialized vehicles with wider ramps and roomier interiors, and add a second crew member when the transfer or the route out of the home calls for it. Give us as much notice as you can.

If you are not sure which applies, call and describe the situation. The right vehicle at the door matters more than almost anything else about the booking.

Pickup in Gainesville, Haymarket and Bristow

  • Heritage Hunt is a gated 55+ community with a single entry point. Give us the resident’s name and full address when you book, and we allow extra time at the gate.
  • Heritage Village Plaza sits next to Heritage Hunt, outside the gate. Fresenius Kidney Care Gainesville and Gainesville Health & Rehab Center are both there, so the driver goes straight to the plaza, not the community entrance.
  • Campuses with more than one building. The Haymarket hospital has the Heathcote Health Center beside it, and Harper’s Station has a separate memory care building. Name the building and the entrance.
  • I-66 is the main road east to Fair Oaks and Fairfax, with express lanes running from Route 29 in Gainesville to the Beltway. We build rush hour on I-66 and Route 29 into the pickup time.

Dialysis and standing orders

Gainesville and Haymarket riders are treated close to home and in Manassas, and we run standing schedules to centers including:

  • DaVita Haymarket Dialysis, 14664 Gap Way, Gainesville
  • Fresenius Kidney Care Gainesville, 7001 Heritage Village Plaza, Ste 150, Gainesville
  • DaVita Bull Run Dialysis, 9420 Forestwood Ln, Manassas
  • DaVita CDC Manassas Dialysis, 10655 Lomond Dr, Manassas
  • Fresenius Kidney Care Manassas, 9302 W Courthouse Rd, Manassas
  • Fresenius Kidney Care Warrenton, 170 W Shirley Ave, Ste 100, Warrenton

DaVita Haymarket carries the Haymarket name but sits on Gap Way in Gainesville. Fresenius Gainesville runs a Monday, Wednesday and Friday schedule. Tell us the center and the chair times once and a standing order keeps them on our books, week after week. Riders often see the same driver, which helps on the ride home when treatment has left them tired. See dialysis transportation for details.

Booking, coverage and payment

Dispatch answers around the clock at (703) 304-7889, or you can request a trip online. We need a minimum of three hours notice for same-day requests and discharges; booking 24 hours ahead guarantees availability. Cancel or change at least two hours before pickup to avoid a fee.

Rates. Wheelchair trips start at $55 per leg on a round trip and stretcher trips at $230 per leg, the same published rates everywhere we drive. The full card is on our rates page, and we quote every trip before you book.

Virginia Medicaid. If the rider is a Virginia Medicaid member and the trip is to a covered medical service, the ride should cost them nothing, and it is not booked directly with us. Call the transportation number on your Medicaid ID card; the brokers we work with are MTM Health and SafeRide Health. Request H&M Transport specifically when you book your ride. Our Virginia Medicaid transportation guide explains who qualifies and how far ahead to call.

Medicare, private pay and facilities. Original Medicare does not cover wheelchair or stretcher vans; some Medicare Advantage plans include a transportation benefit, and if yours does, ask the plan for H&M Transport by name (see does Medicare cover wheelchair transportation). Families pay the published rates, with no doctor’s order needed. Hospitals, skilled nursing facilities and senior communities book on contracted rates through our facilities program.

Questions we get from Gainesville families

How much does medical transportation cost in Gainesville?

A wheelchair or ambulatory round trip is $55 per leg with five miles included, plus $3.00 per additional mile; one way is $90 plus $3.00 per mile. A stretcher round trip is $230 per leg with five miles included and $4.00 per additional mile; one way is $260 plus $4.00 per mile.

Does Virginia Medicaid cover rides with H&M Transport?

Yes, for covered medical trips, and it should cost the member nothing. Call the transportation number on your Medicaid ID card; the brokers we work with are MTM Health and SafeRide Health. Request H&M Transport specifically when you book your ride.

Can you get through the gate at Heritage Hunt?

Yes. Heritage Hunt has a single gated entry, so give us the resident’s name and address when you book. We allow extra time at the gate.

Do you pick up discharges at UVA Health Haymarket Medical Center?

Yes, with three hours notice. Tell us the unit, and whether the rider is in the hospital or the Heathcote Health Center next door.

Is H&M Transport based in Gainesville?

Our dispatch center is in Gainesville and answers around the clock. Drivers take their vans home and start the day across the service area, so the van coming to you has usually started nearby.

Do you drive outside Prince William County?

Yes. We run trips across Northern Virginia, such as to Inova Fair Oaks Hospital in Fairfax or Fauquier Hospital in Warrenton, and long-distance trips. We quote every trip before you book.

What we can’t take

H&M Transport runs non-emergency medical transportation. There is no medical care or monitoring on board, we do not take anyone to an emergency room, and we do not move patients between hospitals for a higher level of care. We do run scheduled, stable transfers between facilities, such as hospital to rehab or to a nursing home. If this is a medical emergency, call 911.

Where our drivers start the day

Dispatch sits in Gainesville. The vehicles do not. Our drivers take their vans home, and they live across the whole service area, including the Maryland suburbs and the District. The van that pulls up at your door in Gainesville has usually started its day nearby rather than driving across the region to reach you.

That is why a same-day request is often a shorter wait than a map would suggest, and why a standing order holds week after week: the same driver, starting from the same place, on a route they already know.
