Wheelchair Transportation in Sterling, VA

Most of Sterling sits between Route 7 and Dulles Airport, and its hospitals are on the edges: Inova Loudoun up Route 7 in Lansdowne, StoneSprings to the south off Route 50, and Reston Hospital Center just to the east. When the rider uses a wheelchair, we send a van with a ramp or lift and a driver who meets them at the door, locks the chair in place and stays with them all the way inside.

Our Sterling pickups cover Sterling Park, Dulles, Cascades, Potomac Falls, Sugarland Run and CountrySide. Wheelchair round trips start at $55 per leg. Loudoun and the rest of Virginia are covered by our Virginia DMV Certificate #524, and WMATC authority 3449 takes a trip on into DC or to Montgomery or Prince George’s County. Phone dispatch at (703) 304-7889 at any hour or book online; for stretcher rides and riders who walk, see our Sterling medical transportation page.

A wheelchair trip from a Sterling home, step by step

A Sterling pickup might be a split-level in Sterling Park with steps down to the drive, a house on a cul-de-sac in Sugarland Run, or the lobby of a building at Falcons Landing. The driver walks up to meet the rider and brings them out, and if the steps are more than the rider can manage, a stair chair team is part of the trip. Nobody is moved into a car seat: the wheelchair rolls up a minivan ramp or rides a full-size van’s hydraulic lift, four straps fix it to the floor, and a lap and shoulder belt goes on before the van leaves.

We carry power chairs, manual chairs and scooters, and we’ll supply a wheelchair free of charge when the rider’s own won’t suit the trip. There’s no fare for one companion, family member or aide, and service animals ride along.

When the van arrives, the driver goes in with the rider: to the front desk at Inova Loudoun or StoneSprings, the right suite in a medical office building, or the chair at DaVita CDC Sterling. Every driver is certified in CPR and first aid, trained to secure manual and power chairs, and cleared by a criminal background check and drug screening. Vans go home each night with their drivers, who live across the region, while dispatch works from our Gainesville office. H&M Transport was the first NEMT provider in Virginia accredited by NEMTAC, whose audit covers driver training, securement and the vehicles themselves.

Hospitals, rehab and senior living on our Sterling routes

StoneSprings Hospital Center on Stone Springs Boulevard is the closest hospital for many Sterling and Dulles riders. The medical office building across the street, home to more than 25 practices, connects to the hospital by an indoor walkway, so we can drop a rider at either door. From the Route 7 side of Sterling, allow for the drive south on Route 28.

Inova Loudoun Hospital in Lansdowne has free parking and offers inpatient rehabilitation. Reston Hospital Center, a short run east, has free garages and a 30-bed rehab unit; office visits go to the Pavilion entrances and inpatient pickups to the West Wing.

We run a regular schedule for residents of Sunrise at Countryside, Falcons Landing and Cascades Village, and for short-term rehab patients at Potomac Falls Health & Rehab Center and the Johnson Center at Falcons Landing.

Dialysis rides in Sterling

We run standing wheelchair schedules for Sterling and Potomac Falls riders, including to:

  • DaVita CDC Sterling Dialysis, 46396 Benedict Dr, Suite 100, Sterling
  • DaVita Ashburn Dialysis, 19980 Highland Vista Dr, Suite 100, Ashburn
  • DaVita Lansdowne Dialysis, 44084 Riverside Pkwy, Suite 100, Leesburg
  • DaVita Stone Ridge Dialysis, 24640 Southpoint Dr, Suite 160, Chantilly

DaVita CDC Sterling, on Benedict Drive near Route 7 and Route 28, is the closest center for most of Sterling; others pick Ashburn, Lansdowne or Stone Ridge for a chair time that suits them. The three weekly treatments are booked once, as a standing order. If a session runs over, the ride home becomes a will-call: the van reaches the center within 45 minutes of your call, and calling a little before treatment ends shortens the wait.

From Falcons Landing to StoneSprings Hospital Center is about 15 miles: $55 plus ten miles at $3.00 makes $85 a leg, $170 for the day.

A few things add to the fare, and the quote lists them first: a stair chair team, $75 each way; a pickup before 7am or after 6pm, $30; a driver who waits through the appointment, $75 an hour; a stop on the way, $20; and oxygen at $35 per 2-liter tank, with no charge for a rider’s own portable unit. We accept cash and cards (cards carry a 3% fee) but not personal checks, and itemized receipts are available on request. The full list is on our rates page.

Wheelchair van or LC Transit paratransit and Care-A-Van?

Loudoun’s free services cover a good share of Sterling trips. LC Transit paratransit carries residents whose disability keeps them off the local bus, at no fare, once the county approves their application; rides are booked one to five days ahead and run curb to curb on the days and hours the local routes run. Since July 1, 2026, the county has also run Transit On Demand in a 14-square-mile Sterling zone, a fare-free, fully accessible pilot that operates seven days a week. Riders book the same day or a day ahead, board at the nearest bus stop or a virtual stop shown in the app, and can’t take a trip outside the zone.

Loudoun Volunteer Caregivers runs the Care-A-Van, a wheelchair-accessible van with a volunteer on board, for homebound adults and adults with disabilities who have no other way to reach appointments. CareNET, the county’s medical-ride program for residents at or below 70% of the area median income who are uninsured or have no ride coverage, provides free trips when a case manager asks for them 48 to 72 hours ahead. MetroAccess only serves trips within three-quarters of a mile of Metrorail or Metrobus service, so a Sterling address may or may not qualify; WMATA will check one at 301-562-5360.

A private van picks up where those services stop: a ride today or a discharge, an appointment at a fixed time, help from inside the house to the desk, a trip outside the On Demand zone or bus hours, and riders who haven’t applied for anything.

Pickup tips for Sterling homes and communities

  • Townhouse sections in CountrySide and Cascades often have shared parking. Give us the nearest spot where a van can stop.
  • Route 7 addresses such as Potomac Falls Health & Rehab and Cascades Village face Route 7 directly, so the approach depends on the van’s direction. We plan it ahead.
  • Two-building campuses. At Falcons Landing and StoneSprings, tell us which building the rider is in.
  • Front steps. Give us the number when you book, and a stair chair team comes with the van; with notice, it’s routine.

Sterling fares: Medicaid, Medicare or private pay

Virginia Medicaid. When a Virginia Medicaid member rides to a covered medical service, the trip costs them nothing and the plan arranges it, so it isn’t booked with us. Call the transportation number on your Medicaid ID card; the brokers we work with are MTM Health and SafeRide Health. Request H&M Transport specifically when you book your ride. For routine visits, call several business days ahead; our Virginia Medicaid transportation guide explains the process.

Medicare. Original Medicare won’t pay for a wheelchair van; it pays for an ambulance only when one is medically necessary. Members of a Medicare Advantage plan whose ride benefit MTM Health or SafeRide Health administers can book through the plan and request H&M Transport by name.

Private pay and facilities. Paying on your own means the published rates and no doctor’s order. Hospitals, nursing and rehab centers and senior communities book on contracted rates; see our facilities page.

When to call, what to tell us, how to change a ride

Call dispatch at (703) 304-7889 three hours or more before a same-day ride or a discharge from StoneSprings or Inova Loudoun; trips booked the day before are guaranteed. Today’s rides are booked by phone only, and every booking gets a confirming call or text within two hours.

In the trip notes, say where the van can stop in a shared lot, which building the rider is in at Falcons Landing or StoneSprings, what the appointment is and how long it should last, and how many steps there are. Riders over 300 lbs need bariatric service.

Cancelling or changing more than two hours before pickup is free; after that, or if no one is there for the pickup, the charge is $50. Phone, email Reservations@hmtransport.com, or use our app.

Wheelchair transportation in Sterling: common questions

What does a round trip from Falcons Landing to Inova Loudoun Hospital cost?

$128. Inova Loudoun is about eight miles from Falcons Landing, so each leg is $55 plus three miles at $3.00, or $64. A round trip that stays within five miles a leg is $110, and a one-way ride is $90 plus $3.00 for every mile.

Do you pick up at StoneSprings Hospital Center?

Yes, for appointments and discharges; a discharge needs three hours’ notice. Tell us whether the rider is in the hospital itself or in the medical office building across the street, and the driver goes to that door.

Will Virginia Medicaid pay for a Sterling rider’s trips to StoneSprings or dialysis?

It will when the trip is to covered medical care, and the member pays nothing for it; the ride is set up by Medicaid’s transportation broker, though, not by our dispatchers. Call the transportation number on your Medicaid ID card; the brokers we work with are MTM Health and SafeRide Health. Request H&M Transport specifically when you book your ride.

How is this different from Transit On Demand in Sterling?

Transit On Demand is a free, fully accessible county pilot: you meet it at a bus stop or a virtual stop inside its Sterling zone, on a trip booked the same day or a day ahead. We come to the door, help the rider from inside the home to the appointment, and drive anywhere in Virginia, DC, Montgomery or Prince George’s County.

Can you pick up a resident at Falcons Landing?

Yes. Tell us which building the rider lives in, a residence or the Johnson Center, and the driver meets them at that door, then takes them in at the clinic, the hospital or the dialysis center.

Can you take a Sterling rider to DaVita CDC Sterling three days a week?

Yes. The treatment days and chair times go in once as a standing order and repeat every week, at Benedict Drive or any other center. When a session runs long, call for a will-call return; the van gets there within 45 minutes, and calling a little before treatment ends shortens the wait.

Do you drive from Sterling into DC or Maryland?

Yes, into DC and to Montgomery and Prince George’s counties. WMATC authority 3449 covers those trips and Virginia DMV Certificate #524 covers the Loudoun end, with no change in price.

What our vans don’t do

Our vans carry riders to care; they don’t provide it. No one on board monitors or treats the rider, we don’t go to emergency rooms, and moving a patient to another hospital for a higher level of care is an ambulance trip. If this is a medical emergency, call 911. If a rider becomes unwell, the driver stops safely and calls 911. For a rider who can’t sit upright for the whole ride, book stretcher transportation.
