Non-Emergency Medical Transportation in Stafford, VA

Stafford families usually call us when the family car stops being an option: a parent now in a wheelchair, someone who needs an arm from the front door, or a patient leaving Stafford Hospital who must ride lying down. We pick the vehicle by how the rider moves, and the driver handles the door at home and the walk inside at the far end. Our vans have carried riders since 2010, and we were the first NEMT company in Virginia to be accredited by NEMTAC.

Every level of service, from ambulatory and wheelchair to stretcher and bariatric, picks up across Stafford Courthouse, Aquia Harbour, Garrisonville, Falmouth and north toward Quantico. Trips within Virginia, Fredericksburg included, run under our Virginia DMV Certificate #524; WMATC authority 3449 covers DC and Montgomery and Prince George’s counties; and long-distance trips reach care that’s farther away. Book any hour at (703) 304-7889, or request a trip online.

Where we take Stafford riders

Stafford Hospital, part of Mary Washington Healthcare, is at 101 Hospital Center Boulevard, directly off I-95 at Exit 140 near Courthouse Road. It is a 174-bed community hospital and a regular Stafford stop for us. The hospital does not publish a patient drop-off door, so for a discharge we confirm the entrance with the unit before the van arrives.

South in Fredericksburg, Mary Washington Hospital at 1001 Sam Perry Boulevard is the region’s larger medical center, with a Level II trauma center and a primary stroke center. Stafford riders go there for specialist care, and DaVita Park Hill Dialysis is nearby on Hospital Drive.

North Stafford families often use Sentara Northern Virginia Medical Center on Opitz Boulevard in Woodbridge, off I-95 at Exit 156. Its main entrance is near the flag poles, the visitor entrance is reached by River Rock Way, and every visitor shows a government-issued photo ID at the door.

We also run a regular schedule for residents of Viva Senior Living at Stafford on Kings Crest Drive and Marian Manor of Stafford on Old Potomac Church Road, and to and from the Brimley Drive campuses off Route 17: Falls Run Nursing and Rehabilitation, Berea Health & Rehab Center, and Harmony at Falls Run, which many directories still list as The Crossings at Falls Run. Woodmont Center on Dairy Lane is another regular stop.

Matching the ride to the rider

Four levels of service, chosen by how the rider gets around on the day of the trip.

Ambulatory. Riders who walk, with a cane, a walker or a steady arm, travel in the same vans as everyone else. The driver meets them at the door and stays alongside them into the appointment, and if they can manage the front steps with that help, there’s no stair charge.

Wheelchair. Manual chairs, power chairs and scooters ride secured at four points, loaded by ramp on a minivan or by hydraulic lift on a full-size van, and a rider without a chair of their own can use one of ours. Our wheelchair transportation in Stafford page has the prices, worked examples and local pickup notes.

Stretcher. When lying flat or reclined is the only safe way to travel, a two-person crew brings a cot to the bedside, often at Stafford Hospital for a move to one of the Brimley Drive rehab centers, and settles the patient at the other end. More on stretcher transportation.

Bariatric. A rider over 300 lbs gets a specialized vehicle, with a wider ramp and more space, plus a second crew member if moving the rider or getting out of the house takes two. Early booking helps us line up the right vehicle.

Can’t tell which one you need? Tell dispatch how the rider gets around now, and we’ll choose the vehicle with you.

Pickup in Stafford, Aquia Harbour and Garrisonville

  • Aquia Harbour is gated. Visitors and service vehicles use the Non-Decal/Visitor lane at the front gate and are checked by security. Add H&M Transport in the Gate Sentry app before pickup, or the gate can be reached at 540-659-5224.
  • Garrisonville Road. Route 610 carries two dialysis centers and the Staffordboro commuter lot. Give us the exact address and suite so the driver goes to the right door.
  • The 95 Express Lanes are reversible. The direction changes by time of day, so the lane that helps in the morning may not be open for the ride home. We plan each leg on its own.
  • Brimley Drive campuses. Three senior and rehab buildings share the street. Tell us the building name and the entrance, and if a rider in a wheelchair has to manage steps at home, we send a stair chair team for $75 each way.

Dialysis and standing orders

We run standing dialysis schedules for Stafford riders, including to:

  • DaVita Garrisonville Dialysis Center, 70 Doc Stone Rd, Stafford
  • Fresenius Kidney Care Garrisonville, 479 Garrisonville Rd, Stafford
  • Fresenius Kidney Care Falls Run, 127 Lichfield Blvd, Fredericksburg
  • Fresenius Kidney Care Dumfries, 3671 Fettler Park Dr, Dumfries
  • Fresenius Kidney Care Fredericksburg, 230 Executive Center Pkwy, Fredericksburg
  • DaVita Park Hill Dialysis, 1151 Hospital Dr, Fredericksburg

One call puts the treatment days and chair times on a standing order. Sessions that run long are covered by a will-call return: phone us and a van is at the center within 45 minutes, and calling shortly before the session finishes means less waiting. Details are on our dialysis transportation page.

Booking, prices and payers

Book by phone at (703) 304-7889, any hour, or request a trip online. Three hours is the shortest notice we take for a same-day trip or a hospital discharge, and a day’s notice locks the ride in. There’s no charge to change or cancel until two hours before pickup; after that, or for a no-show, it’s $50.

Prices. A wheelchair or ambulatory round trip from Stafford starts at $55 a leg, and a stretcher round trip at $230 a leg. For example, a stretcher discharge from Stafford Hospital to the Brimley Drive campuses runs about eight miles: $260 plus $32 of mileage, $292 in all. Every trip is quoted before it’s booked, and the whole card is on our rates page.

Virginia Medicaid. Members don’t pay for rides to covered medical care, but those rides are arranged by Medicaid’s transportation brokers rather than booked with us. Call the transportation number on your Medicaid ID card; the brokers we work with are MTM Health and SafeRide Health. Request H&M Transport specifically when you book your ride. For a routine appointment, call several business days out; our Virginia Medicaid transportation guide explains eligibility.

Medicare, private pay and facilities. Wheelchair and stretcher vans aren’t covered by Original Medicare. Some Medicare Advantage plans have MTM Health or SafeRide Health run their ride benefit, and those plans can send the trip to us when you ask for H&M Transport (see does Medicare cover wheelchair transportation). Families who pay directly need no doctor’s order and pay the published card; hospitals, nursing facilities and senior communities are billed at contracted rates through our facilities program.

Questions we get from Stafford families

How much does medical transportation in Stafford cost?

Two things set the price: the level of service and the distance. Riders who walk or use a wheelchair pay a $55 pick-up fee per leg on a round trip, which includes five miles, and $3.00 for each mile past that; a one-way trip is $90 and every mile is $3.00. For a stretcher, the round-trip fee is $230 a leg with the same five miles included and $4.00 a mile after, and one way is $260 with $4.00 a mile. Bariatric and long-distance trips are priced separately on the card.

Do you pick up after a discharge from Stafford Hospital?

Yes. With three hours’ notice, we check with the unit which entrance to use, and the driver takes the rider home and through the front door.

Does Virginia Medicaid cover rides in Stafford?

Yes for covered care, from a dialysis chair on Garrisonville Road to a follow-up at Stafford Hospital, and the member owes nothing. The ride is set up through Medicaid rather than by us. Call the transportation number on your Medicaid ID card; the brokers we work with are MTM Health and SafeRide Health. Request H&M Transport specifically when you book your ride.

Can you pick up inside Aquia Harbour?

Yes. Add H&M Transport in the Gate Sentry app before the ride, or call the gate at 540-659-5224, and the driver uses the visitor lane.

How far do you go from Stafford?

Across Northern Virginia and the Fredericksburg area under our Virginia DMV Certificate #524, into DC and Montgomery and Prince George’s counties under WMATC authority 3449, and on long-distance trips when care is farther away. We quote any destination before you book.

Can you take a resident of Marian Manor or Viva Senior Living to appointments?

Yes, both are on our regular schedule. Tell us where the rider will be waiting, and the driver meets them there and takes them inside at the clinic, hospital or dialysis center.

What a Stafford ride with us doesn’t include

Nothing medical happens in our vehicles. The crew doesn’t monitor or treat the rider, we never drive to an emergency room, and a patient who needs a higher level of care at another hospital goes by ambulance. What we do run are scheduled transfers for stable patients, such as Stafford Hospital to a Brimley Drive rehab center. If this is a medical emergency, call 911. If a rider becomes unwell, the driver stops safely and calls 911.

Where the Stafford van comes from

Gainesville is where dispatch answers the phone; it isn’t where the Stafford van starts. Each driver takes a van home at night, and drivers live all over the region, so the one assigned to a Stafford pickup has usually begun the day within reach of I-95 and Garrisonville Road instead of crossing the region to reach you, and on a standing order the same driver tends to take the same rider each week.
